4. Website Pricing

Pricing on caterpillarafricantravel.com is:

  • Per person

  • Based on double occupancy

  • Quoted in USD

Not included in prices:

  • Visas & passports

  • Border taxes

  • Tips (guides, drivers, hotel staff)

  • Insurance

  • Optional excursions

  • Personal expenses

Prices act as guidelines only. Caterpillar African Travel cannot be held liable for pricing changes or typographical errors. All final pricing is confirmed in your invoice. Quotes are valid for 14 days.


5. Travel Documents

Travel documents—including vouchers, e-tickets, and luggage tags—are issued two weeks prior to departure.


6. Insurance

Every traveler must have comprehensive travel and medical insurance. Your policy should include:

  • Medical treatment

  • Medical evacuation & repatriation

  • Baggage loss/damage

  • Optional: cancellation, curtailment, emergency evacuation, theft, money loss

Caterpillar African Travel is not responsible for costs incurred due to guests not being insured.


7. Passports & Visas

Guests are responsible for ensuring valid travel documents.

  • Most nationalities can obtain a Tanzanian tourist visa on arrival ($50 per person / $100 for US citizens).

  • Visa validity: 3 months

  • Passport validity: minimum 6 months beyond travel dates

Caterpillar African Travel is not liable for visa refusal, delays, or related expenses.


8. Name Verification

Please check all names on your invoice immediately.
Changes requested 3+ days after receipt incur a €125 fee.

Booking with Caterpillar African Travel is deemed as acceptance of all Terms & Conditions.


9. Contract Agreement

Your contract is with Caterpillar African Travel (registered in Tanzania under company number ……). All bookings, quotes, and correspondence fall under these terms. Only company directors may authorize exceptions.

A contract becomes binding when:

  • We receive 50% deposit, or

  • We receive full payment for bookings within 12 weeks of departure

All balances must be paid 12 weeks before departure. Failure to do so may lead to cancellation without refund.


10. Medical Conditions & Disabilities

Clients with medical conditions must inform us in writing at booking.
If we cannot safely accommodate the condition, we may decline the booking.


11. Documentation Accuracy

Review all documents immediately.
Errors must be reported within 14 days.
After this period, correction costs fall on the client.


12. Client Cancellations

Cancellations must be submitted in writing.
Deposits and amendment charges are non-refundable.
Flight costs are 100% non-refundable.

Schedule:

  • 65+ days: Deposit only

  • 50–65 days: 50%

  • 0–50 days: 100%


13. Price Adjustments & Surcharges

Prices may increase due to:

  • Fuel costs

  • Airline surcharges

  • Government taxes

  • Park fees

  • Currency fluctuations

Caterpillar African Travel absorbs increases up to 2%.
If increases exceed 10%, clients may cancel and receive a full refund.


14. Client Amendments

Changes after deposit incur:

  • $75 per person (non-US citizens)

  • $100 per person (US citizens)

Changes within 12 weeks are treated as cancellations.


15. Company Cancellations

We may cancel any trip before full payment.
In such cases, clients may choose:

  • Full refund

  • Alternative trip

  • Compensation: $75 per person

Force majeure events (war, civil unrest, weather, pandemics, etc.) are exempt from refunds and liability.


16. Company Amendments

Minor changes may occur.
Major changes (e.g., flight shifts, downgrade in accommodation) allow clients to:

  • Accept adjustments

  • Choose another trip

  • Receive a full refund

No compensation applies for force majeure or client-caused issues.


17. Adventure Activity Disclaimer

Excursions, third-party activities, and external services do not form part of our contract.
We act solely as booking agents and accept no liability for:

  • Accidents

  • Operational errors

  • Third-party negligence

Liability is limited to the cost of the activity booked.


18. Standard of Services

We commit to reasonable local standards but remind guests that Africa’s infrastructure differs from developed nations. Occasional power or water disruptions may occur.

Liability exclusions include:

  • Guest negligence

  • Third-party faults

  • Unavoidable events (force majeure)

  • Business-related losses

Our liability for non-injury claims is capped at 200% of the holiday cost.


19. Carriers & Transport

Flight and sea travel follow their own international conventions.
Caterpillar African Travel is not liable for:

  • Delays

  • Cancellations

  • Lost luggage

  • Operational decisions by carriers


20. Mandatory Travel Insurance

Failure to secure travel insurance may result in booking cancellation.


21. Governing Law

Contracts are governed by Tanzanian law.
All legal proceedings fall under the jurisdiction of Dar es Salaam courts.


22. Introducer Waiver

If referred by a third party, clients waive any liability against that party.
All issues must be directed to Caterpillar African Travel.


23. Problem Resolution

Report issues immediately to:

  • Guide

  • Camp manager

  • Hotel

  • Safari coordinator

Unresolved issues must be submitted in writing within 28 days of returning home.
Failure to do so removes our liability.
